The UF Water Institute is seeking a Program Assistant who can bring creativity, independent learning and excellent communication and time management skills to our collaborative work environment. The successful candidate will work under the direction of the Water Institute Director and collaborate with Water Institute staff to provide communications, programmatic and administrative assistance to University of Florida Water Institute programs. A more detailed breakdown of job duties is included below.

Programmatic

  • Assist with Water Institute research, education and outreach program development, implementation and evaluation.
  • Coordinate event planning, scheduling, set-up, and on-site coordination for both in-person and virtual Water Institute seminars, workshops, meetings, symposia and other events. Activities may include event advertisement, collecting participant registrations, room reservations and setup, catering orders, audio-visual and IT scheduling, and design and printing of materials.
  • Coordinate the administration of Water Institute programs, for example the Hydrologic Sciences Academic Concentration program, Faculty Fellows program, Water Institute Graduate Fellows program and Faculty Advisory Committee.
  • Assist with Water Institute Diversity and Equity efforts. Track, communicate and evaluate progress of strategic planning and Diversity and Equity action plan metrics.

Outreach and Communications

  • Maintain a dynamic web presence for the Water Institute via social media and the creation and management of website content, design and online databases. Work with information services personnel to improve website functionality and features. Evaluate the effectiveness of web presence and social media outlets.
  • Develop innovative communication products for the dissemination of research, extension and outreach programs to internal and external stakeholders through design of social media campaigns, spotlights, infographics, presentations and other materials.

Administrative

  • Collect, organize and enter information for grant proposals and reports.
  • Provide general office management that includes overseeing inventory, mail, equipment, and facilities.
  • Serve as liaison to the IT unit, fiscal/travel services unit and external vendors to accomplish program objectives.
  • Other duties may be assigned based on the needs of the unit.

A bachelor’s degree in an appropriate area of specialization and one year of relevant experience is required. The ideal candidate will have excellent written and verbal communication skills, strong organizational and time management skills and experience in a relevant earth/environmental science field (water-related preferred). We are seeking proactive, innovative candidates that work well in a collaborative team environment. Proficiency in Microsoft Office Suite, Web Content Management Systems (Wordpress), social media outlets, Zoom, Qualtrics, Access and Adobe Creative Suite are highly desirable.
